Privacy Policy
Reginald David Photography, a photography studio based in Ottawa, Ontario, is accountable for personal information under its control. The studio owner acts as privacy officer. This policy describes the general practices of the website, session inquiries and client relationships.
Information collected
Depending on your interaction, we may collect your name, email, telephone number, preferred date and location, project details, preferences, consents and communications. A client file may also contain information needed for quotes, bookings, contracts, invoices, payments, schedules, deliveries and administrative documents. Limited technical data may be processed to protect the site and prevent abuse.
Photographs and likeness
A photograph may be personal information when someone is identifiable. Capture, retention, delivery and public use are governed by the contract, applicable releases and client choices. A private gallery does not automatically authorize portfolio, social-media or promotional use. A parent or guardian must provide required permissions when a minor participates.
Use and consent
Information is used to answer inquiries, prepare quotes, plan and perform sessions, create agreed documents, process payments, deliver images, provide follow-up, meet legal and accounting duties and secure the site. Submitting the form authorizes only the handling of that inquiry and the studio’s response; it is not a general marketing subscription.
Providers and transfers
Information is disclosed only to authorized people and necessary providers, where used: secure hosting and storage, authentication, administrative or payment services, professional advisers and Pic-Time for galleries and delivery. Some providers may process data outside Canada under local laws. Reginald David Photography does not sell personal information.
Retention and security
Information is kept only as long as needed for the client relationship, proof of permissions, protection of rights and legal, tax or accounting duties, then securely deleted, anonymized or archived. Safeguards include HTTPS, administrative authentication, restricted access and private document storage. No system can guarantee absolute security.
Your rights and questions
Subject to legal exceptions, you may request access, correction, an explanation of use or disclosure and withdrawal of consent for future processing. Identity verification may be required. Use the website form and include “Privacy”. You may also contact the Office of the Privacy Commissioner of Canada.
Terms of Use
The website presents the studio’s portfolio, approach and services. Its content is informational, may change and is not a firm offer, availability guarantee or service contract. A specific quote or signed contract takes priority where it differs from these website terms.
Inquiries, bookings and payments
Submitting a form or message does not confirm a booking. A date is reserved only after written acceptance of the specific terms and, where applicable, receipt of the required retainer or payment. Prices, inclusions, travel, timelines, cancellations, rescheduling, delays and deliverables are those in the applicable quote or contract. Mandatory consumer rights remain in effect.
Production and delivery
Selection, editing, format, image count, estimated timelines and delivery method are defined in the contract. Pic-Time may be used as an external gallery, selection and download platform and is also subject to its own terms and privacy settings.
Acceptable use
You may not disrupt the site, bypass security, attempt to access administration or another person’s records, transmit malicious content, use a false identity, automate abusive requests or infringe the rights of the studio, its clients or third parties.
Availability and liability
The studio works to keep the website reliable and accurate but does not guarantee uninterrupted access or a complete absence of errors. To the extent permitted by law, it is not responsible for indirect loss arising from use of the website or an external service. Nothing limits a right that a consumer cannot legally waive.
Copyright and use of images
Unless agreed in writing, photographs, text, logos, compositions and visual elements are protected. Content may not be copied, downloaded, altered, sold, published, scraped, used to train an automated system or commercially exploited without written permission. Clients receive only the usage rights stated in their contract; purchasing a service does not automatically transfer copyright. A person appearing in a photograph does not authorize third-party reuse.
